Contacts & events

Every loan is attached to a borrower — a contact, an event, or both. These are managed under Contacts and Events.

A contact is a person or external organisation you lend to — name is the only required field; email, phone, and notes are optional. The contacts list shows each contact’s number of active, unreturned loans as a badge, so you can see at a glance who’s holding onto the most gear.

An event represents an occasion — a festival, a show, a one-off loan-out — that has its own status: Planned, Active, Completed, or Cancelled. The events list shows how many items are currently out for each one.

An event’s detail page shows:

  • Its name, date, description, and status.
  • A QR code for the event itself — scanning it (in the Scan page’s Check in/out or Lend/Return mode) jumps straight into lending against that event, so you don’t have to find it in a dropdown.
  • Gear out — every active loan tied to the event, with a Return all option or per-item returns.
  • A history of everything already returned for that event.

Completed or cancelled events can no longer have new items lent against them — attempting to scan or select one for a new loan is blocked.

Lend to a contact when it’s really about the person or organisation borrowing something. Lend to an event when you care more about tracking everything going out for a specific occasion, regardless of who physically carries it. You can also set both on the same loan — useful when a specific contact is your point of contact for an event.
